In practice, a large share of these callouts turn out to be free to fix — a door left ajar, a blocked coil, an overloaded room — and only a minority need a gauge set and a compressor swap. This article gives you an ordered sequence to work through, from the checks anyone on site can do in five minutes to the refrigeration and electrical measurements that are genuinely a technician’s job, so you eliminate the cheap causes before you pay for the expensive ones.

Step 1: Confirm the Complaint Before You Touch Anything

Note how long the problem has been happening. A gradual drift over days or weeks points to fouling — a dirty condenser or an icing evaporator. A sudden step change points to a single event — a door left open, a tripped compressor, a defrost cycle that never terminated.

Record the actual air temperature at two or three points in the room, not just the controller display, which reads only at its own sensor. A typical chiller room runs 0 to 4°C; a typical freezer room runs −18 to −25°C, with the exact design point depending on what is stored. If the room reads more than about 2 to 3 K above its normal set point, treat it as a genuine fault, not sensor noise.

Ask whether the complaint tracks a pattern — worse after deliveries, worse in the afternoon, worse since load shedding started on a given schedule. A pattern that follows door traffic or power interruptions is doing most of the diagnosis for you already.

Step 2: Check the Free Causes First

None of the following need tools:

Door left open or ajar. Ten minutes open during a busy delivery can add enough heat and moisture to take two or three hours to recover in a small room. Check whether staff are using the door correctly before assuming a mechanical fault.

Door seal condition. Run a hand around the closed door’s perimeter and feel for cold air movement, or look for frost forming on the frame in patches. A gap of more than roughly 2 mm along any run of gasket is enough to let in meaningful infiltration air, and it gets worse as ambient humidity rises — a real factor in Cape Town’s coastal air for much of the year.

Room overloaded or badly stacked. Product packed against the evaporator or blocking the return air grille stops the coil from seeing room air. Keep at least 150 to 200 mm clearance between stock and the evaporator, and never block the return air path.

Hot product loaded directly. Placing food into the room above about 20 to 25°C adds a heat load the system’s pull-down capacity was not sized to absorb quickly. If this happens daily, it is a process problem, not an equipment fault — product should be pre-cooled or blast-chilled before it goes into long-term storage.

Step 3: Airflow Inside the Room

Confirm the evaporator fans are actually running and turning in the correct direction. A stalled fan produces a much larger gap between coil temperature and room air temperature than the design allows.

Look for ice bridging between fins, as opposed to a light, even frost film. Bridging ice blocks airflow through the coil and should be cleared (and the cause investigated — see the defrost article below) before you go further.

Check that pallets, curtains or stock are not blocking the return air path back to the evaporator.

Step 4: Condenser Condition (Outside the Room)

Check the condenser coil for dirt, leaves, lint or salt deposits. Coastal Cape Town air carries salt that accelerates fouling and corrosion on condenser fins faster than an inland site would see, so this needs checking more often near the coast.

Confirm the condenser fans are running. A stopped fan on an air-cooled condenser will show high head pressure and poor heat rejection within minutes.

Check that nothing is blocking airflow to or from the condenser — a wall built too close, boxes stacked in front of it, or a plant room with no make-up air.

Step 5: Refrigeration-Side Checks — Technician’s Job

Once the free and airflow checks are done and the room is still out of range, this is where a qualified refrigeration technician takes over with gauges and a thermometer:

Suction and discharge pressures, converted to saturation temperature, compared against the refrigerant’s design pressure-temperature chart.

Superheat at the evaporator outlet — too high suggests undercharge, a restriction, or a valve set too far open on a flooding risk; too low suggests overfeeding and the risk of liquid returning to the compressor.

Subcooling at the condenser outlet — low subcooling is a classic sign of low refrigerant charge; high subcooling can point to an overcharge or a restriction on the liquid line.

Evaporator TD — the difference between room air temperature and the evaporator’s saturation temperature. This is a design choice, not a fixed number: roughly 5 to 7 K where high humidity must be preserved (unwrapped produce, for example), and roughly 7 to 10 K for general or packaged storage. A TD running well outside the room’s design figure changes both the room’s humidity and how fast the coil frosts, and is a strong clue that something has shifted — charge, airflow, or a fouled coil.

Step 6: Electrical Checks

Confirm the compressor is receiving power and actually cycling, not just humming and tripping on overload.

Check contactor condition — pitted or burnt contacts cause intermittent operation that can look exactly like a refrigeration fault.

Confirm control wiring to the room thermostat or controller is sound, and that the sensor itself is correctly positioned and not touching a cold surface that gives a false low reading.

Any of this electrical work should be done by a qualified person, with the isolator locked off before hands go near live terminals or compressor terminals that may hold stored charge on start capacitors.

Reading the Sequence at a Glance

Step

What to check

Target / acceptable range

What out-of-range means

Room temperature

Air temp at 2–3 points

Chiller 0–4°C; freezer −18 to −25°C

More than 2–3 K high signals a genuine fault

Door seal gap

Hand-check for draught, visual frost

Gap under ~2 mm

Larger gap adds infiltration load, worse in humid weather

Stock clearance

Space in front of evaporator

150–200 mm minimum

Blocked airflow reduces coil capacity

Evaporator TD

Room temp minus coil saturation temp

5–7 K (humidity-sensitive) or 7–10 K (general storage)

Outside range changes humidity and frosting rate

Subcooling

Liquid line, technician measurement

Per manufacturer design figure

Low reading suggests undercharge; high suggests overcharge or restriction

Condenser fans

Running, unobstructed

Full speed, clear airflow path

Stopped or blocked fan raises head pressure quickly

Final Thoughts

Work this sequence in order and resist the urge to jump straight to gauges. A door left ajar, a blocked return air path, or a fouled condenser will produce symptoms that look exactly like a refrigerant fault, and fixing those costs nothing beyond staff discipline and a hose-down of the condenser. When the free checks are clear and the room is still drifting, the superheat, subcooling and TD measurements tell a qualified technician exactly where the fault sits, rather than sending them in to guess.
